Connecting a Diverse Workforce Through Smarter Communication

Denver Health is one of Colorado’s largest and most comprehensive healthcare systems, serving not only as a medical center and hospital but also as a hub for public health programs, paramedics, research, and education. A nonprofit healthcare system with thousands of employees—including medical practitioners, administrators, public health professionals, and support staff—Denver Health’s internal communications are vital to keeping their teams connected and informed. Their communications team is responsible for delivering timely, relevant newsletters and updates to these varied groups, but the complexity and scale of their organization made this a technical challenge.

Like many organizations of their size, employee emails and interest groups were organized using Microsoft Outlook Distribution Lists, a standard tool for large organizations to streamline group messaging. While useful for basic email messaging directly, these lists do not offer a direct or automated way to sync with external email service providers like Mailchimp. As Denver Health sought to provide better email options for their interest groups, their marketing team needed a solution that would bridge this gap, ensuring that every message reached the right audience without manual data exports or risk of outdated lists.

To address this challenge, we collaborated closely with Denver Health’s marketing and IT teams to design a custom integration that would automate the syncing of Outlook Distribution Lists with their Mailchimp account. Outlook Distribution Lists are powerful for internal communication, allowing organizations to group employees by department, role, or interest and manage access centrally. Unfortunately, they lack built-in connectivity to external marketing tools. 

By leveraging Mailchimp’s flexible API and integration capabilities, we developed a workflow that securely transfers only the relevant updated employee data and interest groups from Outlook into Mailchimp, ensuring each newsletter or announcement created by their marketing team reaches its intended recipients without manual intervention.

This solution not only eliminated the need for time-consuming manual imports and automatically reflects changes in the internal roster, so that new hires, role changes, or department updates are always accounted for in Mailchimp’s segmented audiences. As a result, Denver Health’s marketing team can focus on crafting relevant, engaging content for their staff, confident that their communications will be delivered accurately and efficiently.
